– We need WebSak, plain and simple!

System manager Sissel Bjørnsrud-Næss has no doubt: a solid case and archive system is essential, even for an intermunicipal company like Øvre Romerike Fire and Rescue (ØRB IKS). But why?

– WebSak is a vital part of my daily work,  Sissel says with a smile at the start of our conversation.

Sissel is responsible for IT and digitalization at Øvre Romerike Fire and Rescue (ØRB IKS), and she uses the case and archive system WebSak every single day. What matters most to her is the value WebSak creates for employees, and how they can use the system to make their workday more efficient.

And that is exactly what we are curious to hear more about:  What kinds of benefits can an intermunicipal company like ØRB IKS actually gain from WebSak?

Sissel has many good answers, and in this article she shares five of them:

1. All documentation stored safely in one place

It probably won’t come as a surprise what Sissel points to as one of the most important functions of a case and archive system: archiving.

– During a normal work week, we receive many different kinds of inquiries, and WebSak helps us sort and archive them efficiently, she explains.

This doesn’t just provide the necessary overview,it also safeguards compliance with the law.

Sissel explains that ØRB IKS operates in line with several legal frameworks, such as the Public Administration Act, the Freedom of Information Act, and the Archives Act. She also emphasizes that they carry an important responsibility to preserve documents not only for the present, but also for the future:

– As an intermunicipal company, we are subject to the same laws as our owner municipalities. It’s reassuring to know that our system meets all the requirements for secure case processing and archiving. We need WebSak, plain and simple.

2. Streamlined case management

Another clear benefit Sissel mentions is efficiency:

– The entire case process has become so much simpler and more efficient with WebSak. From creating documents and handling cases to following up and closing them, everything flows much more smoothly now.

3. A personal workspace for every user

Sissel also highlights is the flexibility that WebSak gives its users as a great benefit;

– We really like the workspace in WebSak. Each of us can adapt it to our own needs. For instance, I can add the queues I use most, so they’re always close at hand. It’s incredibly practical, and something we all appreciate.

4. Greater efficiency with integrations

ØRB IKS also benefits from the many integrations WebSak supports.

– With help from ACOS, we’ve connected several of our other specialist systems to WebSak. This makes our processes faster and more seamless, and it ensures that all inquiries and documentation end up in one place.

When we ask Sissel to share some examples of integrations, we quickly see just how skilled the team at ØRB IKS is at using WebSak across the organization. Several of the integrations that Sissel highlights ensure that WebSak creates value for employees in different departments with different tasks.

One of these is the integration with the inspection system used by the Fire Prevention Department for housing inspections and chimney sweeping.

Another is the integration with ACOS’ form solution, Interact+. Sissel reveals that she and several of her colleagues have become skilled form builders in Interact+, and that more and more digital forms are being produced.

Hardly surprising, since they can be used for such a wide variety of purposes:

– Everyone who builds forms is very happy with Interact+. We create forms for everything from subscription agreements for fire alarms and elevator alarms, to applications for fireworks and new fireplaces.

– What’s so great about using Interact is the direct delivery into ACOS Mottak. You simply enable delivery, and then ACOS Mottak can apply rules that ensure the data goes straight into the archive and ends up exactly where it should.

According to Sissel, the number of integrations is constantly growing. She knows how to take advantage of all the opportunities WebSak provides – including in recruitment processes:

– We are working with ACOS to establish an integration that ensures all documentation can be archived automatically from the recruitment solution directly into WebSak.

5. A resounding “YES!” to openness and transparency

At ØRB, the principle of visibility is strong. Sissel says they see a number of benefits from using ACOS Innsyn (Transparency solution) in combination with WebSak:

– Openness is important, both for us and for our owner municipalities. We use Innsyn+ from ACOS, which makes it easier for us to ensure exactly that.

One important initiative Sissel is working on to safeguard openness is public record lists:

– Until now, the routine has been that users send requests to us via the mail reception. We are now working on setting up a public record list that we can manage to ensure even greater transparency.

– WebSak plays one of the leading roles!

There is no doubt that Sissel and her colleagues at Øvre Romerike Fire and Rescue seize the opportunities provided by the case and archive system WebSak.

As Sissel herself puts it so well:

– WebSak is not a supporting actor in our workday. For us, WebSak plays one of the leading roles!
